1. Who We Are

Novabalear ("we", "us", "our") is a car registration, ITV, transport and vehicle sourcing business based at Polígono 26, 1039, 07500 Manacor, Mallorca, known locally for our 45-day vehicle registration turnaround. For the purposes of the EU General Data Protection Regulation (GDPR) and Spain's Ley Orgánica de Protección de Datos y Garantía de los Derechos Digitales (LOPDGDD), Novabalear is the data controller for the personal data described in this policy.

2. What Data We Collect

We collect personal data in two ways: what you give us directly, and basic site usage data.

Information you submit to us

  • Contact details — name, phone number / WhatsApp, and (on the registration form) email address.
  • Vehicle details — make, model, year, origin country, budget and any special requirements you tell us about, submitted through our registration quote and Custom Car Finder forms.
  • Documents you provide for an active registration, ITV or import case — for example vehicle registration certificates, COC certificates, purchase invoices, ID/NIE copies and proof of address, sent to us directly (e.g. by WhatsApp or email) once we're working on your case.

Information collected automatically

  • Strictly necessary storage — your language preference and your cookie consent choice, stored in your browser's local storage. This isn't a tracking cookie and doesn't require consent under the ePrivacy rules, but we mention it here for full transparency.
  • Analytics data — only if you've explicitly allowed analytics cookies via our . See Section 6 for details.

3. Why We Process Your Data (and Our Legal Basis)

  • To provide our services — preparing a registration quote, sourcing a vehicle, arranging transport, booking an ITV inspection, and filing paperwork with Tráfico or an ITV station on your behalf. Legal basis: performance of a contract (or steps taken at your request prior to entering one), per Article 6(1)(b) GDPR.
  • To communicate with you about an enquiry or an active case, including by WhatsApp, phone or email. Legal basis: contract performance and our legitimate interest in responding to enquiries (Article 6(1)(f)).
  • To meet legal obligations — for example, submitting registration paperwork to Tráfico, calculating and remitting the Impuesto de Matriculación, or retaining invoices as required by Spanish tax law. Legal basis: legal obligation (Article 6(1)(c)).
  • To understand and improve the site, only where you've allowed analytics cookies. Legal basis: your consent (Article 6(1)(a)), which you can withdraw at any time.

4. How Long We Keep Your Data

We keep enquiry data (e.g. an unconfirmed quote request) for as long as reasonably needed to follow up — typically no more than 12 months if it doesn't turn into an active case. Data tied to a completed registration, import or ITV case is kept for as long as Spanish tax and administrative law requires us to retain invoices and official records, generally up to 6 years. You can ask us to delete enquiry data that hasn't led to a service at any time (see Section 8).

5. Who We Share Your Data With

We don't sell your data. We share the minimum necessary with these categories of recipients, only as required to deliver our services:

  • Spanish authorities — Tráfico (the DGT) and official ITV inspection stations, as legally required to register or inspect your vehicle.
  • Transport and logistics partners — drivers, transporters or ferry operators involved in bringing a vehicle to Mallorca, limited to the details needed to collect and deliver the car.
  • Service providers acting on our behalf — including Web3Forms, which processes and emails us the contents of our website forms. We don't use it to store your data long-term; the submission is delivered to our inbox like a normal email.

6. Cookies

We use a small cookie/consent banner with three categories. You choose which apply the first time you visit, and can change your mind anytime via in the site footer.

  • Strictly necessary — remembers your language and your cookie choice. Always on; exempt from consent under the ePrivacy Directive because the site can't work properly without it.
  • Analytics — helps us understand how the site is used. Off by default, only loads after you allow it.
  • Marketing — would be used to measure and improve the relevance of any advertising we run. Off by default, only loads after you allow it. We don't currently run any advertising, so nothing loads under this category yet even if allowed.

7. International Data Transfers

Our own records are kept within the EU/Spain. Where a third-party service provider we use (such as Web3Forms) processes data outside the European Economic Area, we rely on that provider's compliance with GDPR-recognised transfer safeguards, such as the EU Standard Contractual Clauses.

8. Your Rights

Under the GDPR and the LOPDGDD, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data ("right to be forgotten"), where we're not legally required to keep it.
  • Restrict or object to certain processing.
  • Port your data to another provider in a structured, machine-readable format.
  • Withdraw consent at any time, for anything based on consent (e.g. analytics cookies), without affecting processing carried out before the withdrawal.

To exercise any of these rights, email Fred@novabalear.com. We'll respond within one month, as required by the GDPR. If you're not satisfied with our response, you have the right to lodge a complaint with Spain's data protection authority, the Agencia Española de Protección de Datos (AEPD).

9. Data Security

We limit access to personal data to the people who need it to deliver your service, and we rely on reputable third parties (like Web3Forms) that maintain their own security and compliance standards. No method of transmission over the internet is 100% secure, but we take reasonable technical and organisational measures to protect your information.

10. Children's Privacy

Our services are intended for adults arranging vehicle registration, import or transport. We don't knowingly collect personal data from children.

11. Changes to This Policy

We may update this policy from time to time — for example, if we start using a new service provider or add analytics. We'll update the "last updated" date at the top of this page when we do. Significant changes will be highlighted on the site.
